Most Blacklane partner fleets are born the same way: one owner-operator does well, adds a second car, then a cousin who drives, then two more. By the time there are ten chauffeurs, the operation still runs on the founder's memory and a spreadsheet — and the cracks start showing exactly where memory fails: dates, totals and who-was-paid-what.
This guide covers the structure that keeps a fleet manageable as it grows. None of it requires software; all of it gets easier with it.
Everything in a fleet hangs off three lists: drivers, vehicles and rides. Each driver record needs license number and expiry, commission percentage, and which vehicles they use. Each vehicle needs plate, insurance policy and expiry, and service class. Each ride needs date, booking number, route, amount, driver and status.
The discipline that matters: one source of truth per registry. The moment driver data lives partly in a spreadsheet, partly in WhatsApp and partly in someone's head, every report becomes an investigation.
An expired license or insurance policy doesn't announce itself — you discover it when a chauffeur can't take a ride, or worse, after they took it. The fix is boring and absolute: every date lives in the registry, and something (a calendar, an alert, a weekly review) looks at the next 30 days, every week, without exceptions.
Fleets drown in numbers they don't use. Four are enough to run on: revenue by month (the trend, not the point), revenue per driver (who needs more rides, who's overloaded), revenue per vehicle (which cars earn their keep) and top destinations (where your business actually is). Everything else is detail you drill into when one of those four looks wrong.
BLACKDATALANE keeps the three registries synced automatically from the Blacklane portal — rides, drivers, vehicles, every few hours — and turns them into the weekly rhythm above: settlements in one click, expiry alerts on the Business plan, revenue by month, per driver and per vehicle with drill-down to each ride, and CSV when you need raw data. Company plans start at $99/month with a 5-day free trial, no charge during the trial.
